Terms and Conditions

The reservation confirmation, applicable rate and cancellation policy, property rules, and any separate experience, aviation, event, or provider agreement form part of these Terms. Where a separate signed agreement conflicts with these Terms, the separate agreement controls for that particular service.
1. Scope, Acceptance and Definitions
1.1  Application
These Terms and Conditions apply to accommodation reservations, Signature Experiences, transportation arrangements, concierge services, group stays, private events, and related services offered under the GLACIES Montana name.
By making a reservation, paying a deposit, entering the property, requesting a service, or participating in an arranged activity, the booking guest accepts these Terms for themselves and all members of their party, including the Wildlife, Weather and Natural Conditions provisions in Section 8.
1.2  GLACIES Montana
GLACIES Montana is a privately owned 50-acre luxury retreat accessed through a private road. It includes 10 private cabins, three luxury apartments, the Queen Villa, shared retreat amenities, an on-site sauna cabin, a private helipad, and access to separately booked Signature Experiences and concierge services.
Each cabin, apartment, and the Queen Villa is a private, self-contained accommodation within the wider GLACIES Montana retreat.
1.3  Booking Guest
The person named on the reservation is the booking guest. The booking guest must be legally able to enter into the reservation and is responsible for payment, accurate guest information, compliance with these Terms, and the conduct of all members of the party, visitors, invitees, and approved vendors.
1.4  Third-Party Providers
Certain services are performed by independent businesses, including transportation companies, guides, instructors, equipment-rental companies, caterers, wellness practitioners, an independent Experience Agency, and one or more helicopter operators. These providers may require separate terms, waivers, payments, and identification.
1.5  Accuracy of Information
Descriptions, photographs, dimensions, amenities, schedules, and availability are provided in good faith. Minor differences may result from maintenance, seasonal conditions, property improvements, replacement furnishings, weather, or operational requirements.
2. Reservations, Rates, Payments and Cancellations

2.1  Reservation Confirmation
A reservation is confirmed only after GLACIES Montana accepts the booking, receives the required payment, and issues written confirmation. An inquiry, quotation, or temporary hold is not a confirmed reservation.
2.2  Rates and Charges
Rates are quoted in U.S. dollars unless stated otherwise. Applicable lodging taxes, service charges, cleaning fees, security deposits, experience charges, transportation costs, gratuities, third-party fees, and other disclosed charges may be added to the accommodation rate.
2.3  Payment
The payment schedule stated in the booking confirmation applies. Failure to pay an amount when due may result in cancellation. The booking guest authorizes GLACIES Montana or its payment provider to charge the payment method supplied for confirmed services, approved additions, damage, missing property, excessive cleaning, and other amounts properly due under the booking.
2.4  Changes and Transfers
Date changes, accommodation changes, substitutions, and transfers to another guest require written approval and are subject to availability, current rates, and any nonrefundable commitments already made. A material change may be treated as cancellation of the original booking and creation of a new booking.
2.5  Cancellation Policy
The cancellation and refund policy shown during booking and included in the written confirmation forms part of these Terms. Unless the confirmation states otherwise, cancellations must be submitted in writing; no-shows and early departures are nonrefundable; and third-party deposits, payment-processing costs, aircraft positioning charges, permits, catering commitments, and special-order items may be nonrefundable once confirmed.
2.6  Refunds
Any approved refund will be returned to the original payment method, less any lawful and disclosed nonrefundable amounts. Bank and payment-provider processing times are outside the control of GLACIES Montana.

3. Terms for Stays

3.1  Arrival and Access
GLACIES Montana is an easy and comfortable drive of approximately 15 minutes from Glacier Park International Airport near Kalispell. Guests may arrive in their own vehicle, use their own private transfer, arrange a GLACIES concierge ground transfer, or request a helicopter service to the property’s private helipad.
Detailed arrival instructions, private-road directions, parking information, and seasonal access guidance are provided before check-in.
3.2  Check-In and Check-Out
Check-in and check-out times are stated in the reservation confirmation. Early arrival and late departure require advance approval and may involve an additional charge. Guests may be asked to present government-issued identification and a valid payment method.
3.3  Occupancy and Visitors
The number of overnight guests may not exceed the confirmed capacity. Only registered guests may stay overnight. Visitors, photographers, private service providers, and vendors require prior approval. An accommodation reservation does not authorize a party or event.
3.4  Children and Supervision
Children are welcome where permitted by the selected accommodation. A responsible adult must supervise minors at all times, particularly near roads, wooded areas, wildlife, fireplaces, decks, saunas, outdoor equipment, vehicles, and the helipad.
3.5  Apartment Terraces
Each luxury apartment has a spacious private terrace. Neighboring terraces may be connected for families or groups occupying adjacent apartments, but only with prior approval. Guests may not alter or operate partitions or connections without authorization.
3.6  Private Road, Vehicles and Parking
Guests must observe property speed limits, parking instructions, snow or ice advisories, and temporary access restrictions. Guests using their own vehicles are responsible for choosing a vehicle suitable for current conditions and for maintaining appropriate tires, insurance, and roadside assistance.
3.7  Accommodation Care and Housekeeping
Guests must keep the accommodation in reasonable condition and promptly report damage, spills, maintenance issues, or unsafe conditions. Housekeeping frequency and included services are stated in the booking confirmation. Excessive cleaning may be charged separately.
3.8  Damage, Missing Property and Security Deposits
The booking guest is responsible for damage, loss, excessive cleaning, or missing property caused by any member of the party, visitor, or approved vendor. GLACIES Montana may collect a security deposit or place a payment authorization. Any balance remaining after inspection will be released subject to normal payment-provider processing times.
3.9  Conduct and Prohibited Activities
Guests must respect other guests, staff, neighboring properties, wildlife, and the natural environment. The following are prohibited unless expressly approved in writing:
• smoking or vaping inside any building;
• illegal activity, illegal drugs, or disorderly conduct;
• unauthorized parties, events, visitors, or commercial activity;
• excessive noise or conduct that disrupts the retreat;
• fireworks, unauthorized open fires, or tampering with safety systems;
• discharge of firearms or weapons on the property;
• hunting, trapping, feeding, approaching, or disturbing wildlife;
• unauthorized drones, professional filming, or commercial photography; and
• use of off-road vehicles or equipment outside approved areas.
3.10  Pets and Service Animals
Pets are not permitted to enter the property in any case.
3.11  Wildlife and Natural Conditions
GLACIES Montana is located in a natural wilderness environment. Wildlife and rapidly changing weather may be present anywhere on or near the property. GLACIES Montana cannot guarantee the absence of wild animals, safe weather, uninterrupted road access, or freedom from natural hazards. Guests must follow all safety instructions and the detailed Wildlife, Weather and Natural Conditions provisions in Section 8.
3.12  Personal Property
Guests remain responsible for vehicles, luggage, valuables, sporting equipment, and other personal belongings. Lost-property shipping and handling costs are the guest’s responsibility.
3.13  Removal from the Property
GLACIES Montana may require a guest or visitor to leave for nonpayment, unauthorized occupancy, serious disturbance, unlawful conduct, unsafe behavior, property damage, or material violation of these Terms or reasonable property rules. No refund is due where removal results from the conduct of the guest or their party.

4. Signature Experiences

4.1  Experience Offerings
Signature Experiences may include heli-skiing, helicopter fly fishing, helicopter wilderness photography, airport helicopter transfers, husky sled adventures, bicycle rentals, snowmobile adventures, private sauna sessions, igloo caviar evenings, private dining, customized wilderness activities, weddings, celebrations, and other seasonal experiences.
Experiences are not included in an accommodation rate unless clearly stated in the booking confirmation.
4.2  Availability and Confirmation
Experiences are subject to season, weather, provider availability, minimum participation, permits, equipment, age, weight, skill, and safety requirements. An experience is confirmed only after the applicable provider accepts the booking and required payment and documentation have been completed.
4.3  Independent Providers
Some experiences are provided by independent third parties. The provider is responsible for its personnel, equipment, permits, insurance, safety procedures, and direct performance of the activity. Guests may be required to accept separate provider terms and sign waivers or acknowledgments.
4.4  Guest Fitness and Disclosure
Guests are responsible for deciding whether they are physically and medically able to participate. Relevant medical conditions, allergies, mobility restrictions, pregnancy, recent injuries, and other safety concerns must be disclosed to the provider. GLACIES Montana does not provide medical advice.
4.5  Safety and Conduct
Guests must attend required briefings and follow all instructions from guides, pilots, drivers, instructors, and staff. A provider may refuse or end participation where a guest is impaired, acts recklessly, gives inaccurate information, lacks required equipment, or creates a safety risk. No refund is required where participation is refused or ended because of the guest’s conduct or failure to meet disclosed requirements.
4.6  Weather and Operational Changes
Outdoor, winter, wilderness, animal-based, and aviation experiences are weather- and conditions-dependent. A provider may change the timing, route, location, duration, or format of an experience, or cancel it, when reasonably necessary for safety or operations. Cancellation of an experience does not automatically cancel or refund the accommodation booking.
4.7  Equipment and Minors
The booking confirmation identifies any included equipment and required personal items. Guests are responsible for suitable clothing, footwear, medication, licenses, and personal equipment when instructed. A parent or legal guardian must approve participation by a minor, and provider age, size, weight, and supervision rules apply.
4.8  Inherent Risks
Outdoor, mountain, winter, wilderness, aviation, animal-based, and sporting activities involve inherent risks that cannot be completely eliminated. These may include weather, altitude, snow, ice, water, uneven terrain, wildlife, equipment, vehicles, aircraft, falls, collision, physical exertion, and delayed emergency response. By participating voluntarily, guests acknowledge these inherent risks and agree to follow all safety requirements.
4.9  Experience Cancellations
The cancellation policy of the applicable provider or Experience Agency applies. Guide commitments, permits, equipment reservations, special-order products, catering, aircraft positioning, and other third-party charges may be nonrefundable once confirmed.

5. Helicopter Services

5.1  Independent Experience Agency
All airport helicopter transfers, heli-skiing, helicopter fly fishing, wilderness photography flights, helicopter event arrivals, and other helicopter-related services are arranged and managed by an independent third-party Experience Agency. GLACIES Montana may introduce the guest, communicate requests, and coordinate timing with the stay, but does not provide air transportation.
5.2  One or More Helicopter Operators
The Experience Agency may select one or more independent helicopter operators based on aircraft availability, route, passenger and luggage requirements, weather, activity type, and operational needs. Different portions of one itinerary may be performed by different operators. Each operator is responsible only for the service it directly performs.
5.3  Operator Identity and Booking Documents
The contracting documentation will identify the Experience Agency and, before flight as required, the helicopter operator in operational control. The guest may receive separate terms, disclosures, insurance information, payment instructions, and cancellation conditions from the Experience Agency or operator.
5.4  Operational Control
The operating helicopter company and pilot in command retain sole responsibility and operational control over the aircraft, crew, maintenance, loading, weight and balance, baggage acceptance, flight planning, route, landing locations, weather assessment, safety procedures, and the decision whether a flight may operate.
The operator or pilot may delay, reroute, shorten, substitute, or cancel a flight for safety, weather, maintenance, legal, or operational reasons. Neither GLACIES Montana nor the Experience Agency may direct a pilot to operate a flight the pilot or operator considers unsafe, unlawful, or unsuitable.
5.5  Private Helipad
Subject to approval by the Experience Agency and operating helicopter company, guests may depart directly from Glacier Park International Airport and land on the private helipad at GLACIES Montana. Use of the helipad is subject to weather, visibility, aircraft performance, passenger loading, baggage limitations, helipad conditions, regulatory restrictions, and the pilot’s final decision. The presence of a helipad does not guarantee that a requested flight can operate.
5.6  Aircraft or Operator Substitution
The Experience Agency may substitute an aircraft or operator where reasonably necessary, provided the replacement is appropriately authorized for the planned operation. Material changes will be communicated as soon as reasonably practical, together with any rights available under the applicable provider terms.
5.7  Pricing and Payment
Helicopter services are priced separately unless expressly included in a written package. Charges may include flight time, aircraft positioning, airport or landing fees, fuel, waiting time, crew, guides, equipment, taxes, Experience Agency fees, and other disclosed expenses. Payment may be collected by the Experience Agency, operator, authorized payment processor, or GLACIES Montana solely as a payment facilitator for the provider, as identified in the booking documents.
5.8  Passenger and Baggage Information
Guests must provide accurate names, passenger weights, luggage details, mobility requirements, medical or safety information, emergency contacts, and special-equipment details when requested. Baggage capacity is limited and determined by the operator. Excess luggage may require ground transportation, another flight, or a different aircraft at additional cost.
5.9  Passenger Conduct
Guests must comply with all identification, baggage, dangerous-goods, boarding, seating, and safety instructions. The operator may refuse carriage to a person who is impaired, disruptive, provides inaccurate information, carries prohibited items, or fails to follow instructions. No refund is required where refusal results from the guest’s conduct or noncompliance.
5.10  Weather, Cancellation and Alternatives
Helicopter services are weather- and operations-dependent. If a flight is delayed or cancelled, the Experience Agency may offer rescheduling, an alternative operator, an alternative experience, ground transportation, a credit, or a refund according to the applicable provider terms. Cancellation of a helicopter service does not automatically cancel or refund accommodation.
5.11  Helicopter Liability
To the fullest extent permitted by law, GLACIES Montana is not responsible for the acts, omissions, delays, cancellations, equipment, personnel, or operational decisions of the Experience Agency or any helicopter operator. Claims arising directly from air transportation or a helicopter-supported activity must be addressed to the responsible Experience Agency or operator. GLACIES Montana remains responsible for its own obligations and does not exclude liability that cannot lawfully be excluded.

6. Concierge Services

6.1  Scope
The GLACIES concierge may assist with ground transfers, helicopter requests, dining reservations, private chefs, catering, provisioning, equipment rental, wellness appointments, Signature Experiences, celebrations, photography, itinerary planning, and other reasonable guest requests.
6.2  Coordination Role
Where a service is performed by an outside business, GLACIES Montana acts only as coordinator or booking intermediary unless expressly stated otherwise. The provider remains responsible for its licenses, insurance, personnel, equipment, terms, and performance.
6.3  Quotes, Approval and Fees
A concierge request is not confirmed until the guest approves the quotation and the provider accepts the booking. Quotes may include provider charges, taxes, delivery, travel, positioning, gratuities, waiting time, coordination fees, and other disclosed expenses. Quotes may expire or change before confirmation.
6.4  Payment Authorization
Concierge services may require prepayment, a deposit, or authorization to charge the guest’s payment method. The guest authorizes approved purchases and reservations within the agreed scope and budget. Guest-requested changes, delays, overtime, additional passengers, and extra services may result in additional charges.
6.5  Ground Transfers
Private ground transfers may be coordinated between Glacier Park International Airport and GLACIES Montana. Guests must provide accurate flight, passenger, luggage, and contact details and be ready at the confirmed pickup time. Weather, traffic, airport operations, road conditions, or guest delays may affect pickup times and may result in waiting-time or replacement-transport charges.
6.6  Special Requests
GLACIES Montana will make reasonable efforts to accommodate dietary needs, accessibility requirements, celebrations, and other special requests. A request is not guaranteed unless confirmed in writing. Serious allergies and essential medical or accessibility requirements must be disclosed in advance.
6.7  Third-Party Cancellations
Outside services are governed by the provider’s cancellation and refund policy. GLACIES Montana cannot guarantee recovery of amounts already paid or committed to a provider. Any refundable amount received from the provider will be returned to the guest, less disclosed nonrefundable fees or charges.
6.8  Recommendations
Recommendations are made in good faith based on available information, guest preferences, and provider availability. GLACIES Montana does not guarantee that every recommended service, restaurant, product, or provider will meet a guest’s personal expectations.

7. Group Stays, Events and Celebrations

7.1  Group Accommodation
Cabins, apartments, and the Queen Villa may be combined for families, groups of friends, multi-generational stays, executive retreats, and private gatherings. The three apartment terraces may be connected, with approval, to create a larger shared outdoor area while preserving separate accommodations.
7.2  Full-Retreat Reservations
Exclusive or full-retreat reservations may be available subject to dates, minimum stay, occupancy, staffing, services, and a separate written agreement. Exclusive use applies only to the accommodations and areas identified in that agreement.
7.3  Events and Weddings
Weddings, marriage celebrations, proposals, private dinners, corporate gatherings, photography productions, and other organized events require advance written approval. Additional event fees, deposits, guest limits, quiet hours, vendor rules, security, permits, and insurance requirements may apply.
7.4  Vendors and Contractors
All outside vendors require prior approval and must comply with property access, insurance, safety, environmental, cleanup, and departure requirements. The booking guest is responsible for the conduct of vendors invited by the guest unless a separate agreement states otherwise.
7.5  Helicopter Event Arrivals
A helicopter arrival for a wedding or private event must be separately arranged through the independent Experience Agency and is subject to the helicopter terms in Section 5. Event timing must remain flexible because flight operation is always subject to the operator and pilot’s final safety and operational decisions.

8. Liability, Wildlife, Weather and Insurance

8.1  Guest Responsibility
Guests are responsible for following these Terms, property rules, safety instructions, provider requirements, and applicable law. The booking guest is responsible for the conduct of the party and for costs caused by damage, unauthorized activity, false information, or failure to follow instructions.
8.2  Third-Party Services
Independent providers are responsible for their direct services. To the fullest extent permitted by law, GLACIES Montana is not responsible for the independent acts or omissions of transportation companies, the Experience Agency, helicopter operators, guides, instructors, rental companies, caterers, wellness providers, photographers, or other outside businesses.
8.3  Limitation of Liability
To the fullest extent permitted by law, GLACIES Montana is not liable for indirect, incidental, special, punitive, or consequential losses arising from a booking, service interruption, weather event, transportation delay, third-party service, or guest decision. Nothing in these Terms excludes or limits liability for gross negligence, intentional misconduct, or liability that cannot legally be excluded.
8.4  Travel and Activity Insurance
Guests are strongly encouraged to obtain suitable travel insurance covering cancellation, interruption, medical care, evacuation, weather disruption, transportation delays, baggage, personal property, wilderness or sporting activities, and nonrefundable experience or event costs.
8.5  Wildlife Acknowledgment
GLACIES Montana is located within a natural wilderness environment where wild animals may be present anywhere on or near the property, including around accommodations, roads, trails, parking areas, terraces, and outdoor amenities. Wildlife may include bears, mountain lions, wolves, coyotes, elk, deer, moose, snakes, insects, and other animals. GLACIES Montana cannot guarantee that wildlife will not enter the property, approach guests, or cause injury, death, or property damage. Wildlife is unpredictable, and encounters may occur without warning.
• Guests must never approach, follow, feed, touch, corner, or photograph wildlife at close range.
• Food, garbage, scented products, and pet food must be properly secured.
• Children and pets must remain under direct adult supervision.
• Guests must immediately follow all wildlife warnings and staff instructions.
8.6  Weather and Natural Conditions
Montana weather and mountain conditions may change rapidly and without warning. Conditions may include heavy snow, ice, extreme temperatures, thunderstorms, high winds, wildfire, smoke, flooding, falling trees or branches, poor visibility, and hazardous or closed roads. GLACIES Montana cannot guarantee weather conditions, road accessibility, uninterrupted utilities or internet, transportation schedules, helicopter operations, experience availability, or emergency-response times.
Weather and natural conditions may delay, modify, interrupt, or cancel arrivals, departures, ground or helicopter transfers, Signature Experiences, events, property access, and individual amenities. Weather-related disruption does not automatically entitle a guest to a refund; the applicable booking, cancellation, force-majeure, and third-party provider policies will apply.
8.7  No Guarantee of Complete Safety
GLACIES Montana may provide safety information and take reasonable operational precautions, but no warning, staff member, fence, road, building, helipad, procedure, or other measure can eliminate every risk associated with wildlife, weather, wilderness conditions, or natural hazards. GLACIES Montana does not guarantee complete safety from wild animals or weather impacts.
8.8  Guest Assumption of Risk and Acceptance
By booking, entering the property, or participating in an activity, each guest acknowledges the inherent risks of wildlife, weather, wilderness conditions, changing roads, service interruptions, and delayed emergency response, and voluntarily assumes those risks to the fullest extent permitted by law. Guests remain responsible for following instructions, supervising children and pets, using suitable vehicles, clothing, and equipment, and making prudent decisions based on current conditions. Separate signed waivers may be required for Signature Experiences or third-party activities. Nothing in these Terms waives liability that cannot lawfully be waived.
8.9  Emergency Response
Mountain and wilderness conditions may delay emergency response. Guests must immediately report emergencies, follow staff or provider instructions, and call emergency services when appropriate. Guests remain responsible for medical, evacuation, rescue, and related costs unless law or applicable insurance provides otherwise.
IMPORTANT ACKNOWLEDGMENT: I understand that GLACIES Montana is a wilderness property where wildlife encounters, severe weather, changing road conditions, service interruptions, and delayed emergency response may occur. I have read and accept the Wildlife, Weather and Natural Conditions provisions.

9. Privacy, Communications and Media

9.1  Guest Information
Guest information will be handled in accordance with the GLACIES Montana Privacy Policy and applicable law. Information may be shared with approved providers where reasonably necessary to perform a requested service, process payment, meet safety requirements, or comply with law.
9.2  Service Communications
Guests consent to receiving booking confirmations, payment notices, arrival instructions, safety updates, and service-related communications by email, telephone, or text. Marketing communications may be unsubscribed from at any time.
9.3  Photography and Filming
Personal photography is permitted when it respects the privacy of other guests and does not interfere with operations. Commercial photography, professional productions, advertising content, media projects, and drone operations require advance written approval. GLACIES Montana will not use identifiable guest images for promotion without permission.

10. Force Majeure and Service Interruptions

10.1  Events Beyond Reasonable Control
GLACIES Montana is not responsible for delay, interruption, or inability to perform caused by events beyond reasonable control, including severe weather, wildfire, smoke, wildlife activity, natural disaster, road closure, utility interruption, public emergency, government order, labor disruption, transportation interruption, airspace restriction, or third-party failure.
10.2  Alternative Arrangements
Where reasonably possible, GLACIES Montana may offer alternative dates, substitute accommodation or services, ground transportation, rescheduling, or a credit. Cash refunds are not guaranteed except where required by law or expressly provided in the applicable booking or provider policy.
10.3  Maintenance and Temporary Interruptions
Guests must report maintenance or service issues promptly so that GLACIES Montana has a reasonable opportunity to address them. Temporary interruption of internet, utilities, appliances, heating, access, or an individual amenity does not automatically create a right to a refund, but reasonable efforts will be made to restore the service or provide a practical alternative.

11. Complaints, Governing Law and General Provisions

11.1  Concerns and Complaints
Guests should report concerns as soon as possible during the stay or service so that GLACIES Montana can investigate and, where practical, correct the issue. Formal complaints should be submitted in writing within 14 days after departure or completion of the service.
11.2  Governing Law
These Terms and the services governed by them are subject to the laws of the State of Montana, without regard to conflict-of-law principles. Before commencing legal proceedings, the parties agree to make a good-faith attempt to resolve the dispute through direct written communication. Any legal action must be brought in a court of competent jurisdiction in Montana unless applicable law requires otherwise.
11.3  Entire Agreement and Priority
These Terms, the booking confirmation, the applicable rate and cancellation policy, property rules, and any signed experience, aviation, event, or provider agreement constitute the agreement for the booking. Where a separate written agreement conflicts with these Terms, the separate agreement controls for that particular service.
11.4  Severability
If any provision is found invalid or unenforceable, the remaining provisions remain in effect to the fullest extent permitted by law.
11.5  No Waiver
Failure to enforce a provision on one occasion does not waive the right to enforce it later.
11.6  Assignment and Resale
A guest may not transfer, assign, or resell a reservation or service without prior written approval.
11.7  Updates
GLACIES Montana may update these Terms from time to time. The version accepted when a reservation is confirmed generally governs that booking, except where a change is required by law or is reasonably necessary for immediate safety or operations.
